We’re looking for a detail-oriented, proactive, and communicative Patient Experience Coordinator to support our daily operations, client communications, and marketing efforts. POSITION OVERVIEW:

The Patient Experience Coordinator (PEC) plays a vital role in the daily administrative operations, patient communications, and marketing support of Summit Physio & Performance.

This is a part-time independent contractor role (5–10 hours/week to start) with the opportunity to increase hours and responsibilities based on company needs and employee interest.

CORE RESPONSIBILITIES

Client Communication & Experience

  • Assist with responding to inbound phone calls, emails, and texts (1–2x/day check-in expected) and route medical questions to physical therapists.

  • Update client CRM profiles and log communications.

  • Schedule and reschedule patient appointments as requested by the PT team.

  • Send appointment reminders, blog announcements, seminar invites, and other texts or emails.

Clinic & Admin Operations

  • Maintain and update the PT schedule.

  • Manage internal communications via Slack (respond to tasks, mark project progress, etc.).

  • Draft and schedule newsletters (monthly), social content, and event communications.

  • Monitor and contribute to Google Reviews outreach and reputation efforts.

  • Submit client invoices as needed.

  • Help manage the EMR system and ensure accurate client onboarding details.

Marketing & Growth Support

  • Create flyers and social media content in Canva (Instagram, Facebook, TikTok) as needed.

  • Help coordinate and attend in-person events when necessary (set-up, content capture, giveaways).

  • Upload content to YouTube, MedBridge and blog articles.

  • Assist with website updates: uploading blogs, formatting event listings, and editing copy as needed.

POSITION STANDARDS

  • Deliver all work professionally, maintaining confidentiality, HIPAA compliance, and alignment with company values.

  • Meet deadlines, communicate proactively, and support innovation and efficiency in all areas of the business.

  • Provide input to improve operations and customer experience.

  • Attend monthly or weekly team meetings (virtual or in person) when requested.

QUALIFICATIONS

  • Strong written and verbal communication skills

  • Detail-oriented and organized

  • Comfortable with tools like Google Drive, Slack, Canva, Squarespace, social media platforms and CRM/EMR platforms (training provided).

  • Self-motivated with the ability to manage time independently.

  • Customer service experience is a plus.

  • Health/wellness background or interest preferred.

COMPENSATION

  • $18/hour for admin and virtual tasks

  • $23/hour for in-person event support (if located in Colorado Springs)

  • Flexible hours with ability to set your own schedule (as long as priority tasks are completed on time)
